Time Management Techniques Using Tracking
Time blocking is simply setting aside time to work on a project or task. A time block is typically an appointment with yourself to narrow your focus on progress.
Use these two Time Management Templates to Achieve Goals with Tracking.
Author Uses Time Management and Gives $100,000,000!
James Michener:
- Wrote over 40 books
- Awarded a Pulitzer Prize
- Gave away OVER $100,000,000
What was James Michener’s time management strategy?
He was disciplined and committed to writing 20 hours a week into his 80s.
While writing the novel Texas, Michener was enjoying a sandwich on a ranch with a friend. Michener was in his late seventies with 100 million in the bank. The author told his friend he had to get back to Austin.
When asked about leaving, he said it was because he had only written 16 hours and needed 4 more to complete the week.
Michener’s writing commitment to himself, backed by the value of discipline, would be a major contributor to his success.
A time blocking example: an author wants to write 20 hours per week. Author blocks out 4 HRS uninterrupted scheduled writing time daily. A tracking template like the one pictured below would help the author track their progress.
High payoff vs. low payoff activities: High payoff activities are the activities that lead you to your dreams. High payoff activities may be the most important activities for your company. A high payoff activity is the most rewarding or where you are paid the most. Low payoff activities are often “have to” activities. You love your pet and you have to feed them each day.
Tracking your daily progress on high payoff or mission-directed activities will help you increase your performance.

Examples of Time Management Using Tracking
Here’s an example of how to work on real health by tracking good eating habits. List different weight control or health habits you want to measure and improve.
For example, you count calories, measure physical activity, manage water intake, and monitor sleep. You can measure these activities using a Do It Now 6 Place Tracker Template as illustrated below.
Examples of Time Management using Tracking
Four of six templates are pictured above. Number one is the calories per day. Averaging over/under, focus self-rating, last food is eaten time. In this example, each day is checked off after review and learning.
Number two is 10,000 steps daily. Number three is six bottles of water daily. And number four is 7 hours of sleep nightly. As you can observe, the act of tracking these items improves performance.
That which is measured improves.
In another example, a salesman wants to see three high-quality prospects daily. He could start on number one using the 21 Place Tracker Template. His goal would be to see how fast he could fill up 21 slots with 3 quality prospects daily. If he wants to improve sales, he will, with this system and careful review.
21 Place Tracker Template examples
The salesman is tracking
1. Top-rated prospects
2. A-plus prospects,
3. Self-rating of prospecting focus.
4. Comments and daily review.
If the salesman has properly identified prospects and generated three or more daily, for instance, they will be a success or there will be obvious reasons why not.
A salesperson with a desire to keep their prospect pipeline full of A plus prospects will make stupid money! As much or more than the President of the United States!
How To Manage Time Using Tracking Templates
To manage time using tracking templates, take your highest value activities and track them. If making calls increases sales, track how many calls you make a day.
Many times the mere fact of tracking will improve your performance.
Fill out a Master To-Do List for Balance and Track any critical actions you must stay on top of.
If pre-qualifying a prospect before actually setting an appointment works best, track how many sales presentations you actually pre-qualified the prospect. Manage your time by tracking the things that have the highest and best payoff for you and your company.
This tracking example is a home-based marketer. They are tracking their two most important activities: to have one presentation each day and contact 10 people about their business.
It appears they have the proper number of prospects and presentation numbers, and they can begin improving the quality of the prospects. Presentations that were pre-qualified could be checked marked with sales tracked in the # column.
